Privacy Policy
This Privacy Policy explains how WYN handles account, operational and workspace information in connection with WYN Agent CRM. It is intended to give agencies a clear baseline for how platform data is collected, used and protected.
1. Information we collect
WYN collects information required to create and operate agency workspaces, including account details, workspace configuration data, login activity, and the records your organisation enters into the platform.
Depending on how you use the service, this may include student, provider, invoice, task, document and communication-related information supplied by your organisation.
2. How we use information
We use personal information to provide the service, authenticate users, secure accounts, support the product, maintain system integrity, and improve product performance and reliability.
We may also use limited operational data to investigate misuse, respond to incidents, comply with law and communicate important service notices.
3. Disclosure and subprocessors
WYN may disclose information to service providers and infrastructure partners that help us host, secure, monitor and support the platform, subject to appropriate contractual and operational safeguards.
We may also disclose information where required by law, regulation, court order or a legitimate request from a competent authority.
4. Security and access control
WYN uses technical and organisational measures designed to protect workspace data against unauthorised access, misuse, alteration and loss.
Each customer workspace is intended to operate within its own tenant boundary, but your organisation remains responsible for internal user access decisions and the secure handling of exported data.
No security or hosting environment can guarantee absolute protection against outage, disaster, corruption or loss, so customers should maintain their own operational safeguards where appropriate.
5. Retention
We retain account and service data for as long as reasonably necessary to provide the platform, meet legal obligations, resolve disputes and enforce agreements.
Retention periods may vary depending on the type of record, the status of the customer relationship and any applicable regulatory requirements.
6. Your responsibilities
If your organisation uploads or manages personal information about students, clients, staff or partners, you are responsible for ensuring you have a lawful basis to do so and that your own privacy notices and procedures are appropriate.
You should avoid storing information that is unnecessary for your operational purpose or prohibited by applicable law or policy.
7. Contact and policy updates
WYN may revise this Privacy Policy as the service or regulatory environment changes. The current version will be published on this page and may be referenced during signup.
